Renewal FAQs

How the renewal process works

You will first receive an email from MIEC letting you know that a renewal application will be sent to you through Adobe Sign within the next few days. The email will include the deadline for completing the application. When you receive the Adobe Sign email, please open the application, provide the requested information, and submit it electronically by the stated deadline. The information you provide helps MIEC maintain an accurate understanding of your current practice, identify potential coverage gaps, and ensure your coverage reflects your professional activities.

Is this request really from MIEC?

Yes.

We are aware that some recent communications contained minor errors, including salutation issues and an incorrect year displayed within the Adobe Sign process. While these were administrative errors and did not affect the legitimacy of the request, we understand they may have caused concern.

We appreciate our members’ diligence in protecting their personal information and take cybersecurity concerns seriously. The renewal application request is a legitimate MIEC communication.

If you have questions about the authenticity of any communication, please contact MIEC Member Services before submitting information.

Why am I receiving a renewal application?

As part of our ongoing commitment to providing appropriate coverage and service, MIEC periodically requests updated information from members about their practice. The renewal application helps us better understand your current practice profile, identify any potential coverage gaps, and stay informed about changes and trends within specific medical specialties.

For the 2027 renewal cycle, MIEC is focusing on physicians in surgical specialties. Because specialty-focused renewal applications have not been conducted consistently in the past, receiving this request may be new for many members.

Going forward, members may periodically receive similar requests as part of MIEC’s efforts to maintain accurate and up-to-date information.

Is completing the renewal application required?

Yes.

The renewal application is a required part of the renewal process. We encourage all members who receive a renewal application request to complete it by the stated deadline. Not completing the application could result in an increased premium, or in some rare situations, non-renewal of your coverage and policy.

To avoid delays or unexpected premium changes, please complete the application by the deadline provided in your communication.

Who should complete the application?

The insured physician MUST complete the application.

Even if you are part of a group practice, the application contains questions that require personal knowledge of your professional activities, background, and practice. Because of this, the application should not be delegated to an office administrator or other staff member. Doing so could jeopardize your coverage.

When do I need to complete the application?

Your completion deadline will be included in the email and renewal application materials you receive.

In general, the application should be completed before your policy renewal date. Because renewal dates vary among members, please refer to the deadline provided in your specific communication.

Can I complete the application on paper or mail in a form?

We request that members complete the renewal application electronically.

The link provided in your email allows you to access and complete the application online. No special software, downloads, or technical expertise are required. In most cases, you can simply click the link and complete the form using a standard web browser.

Electronic submission helps ensure your responses are received quickly and accurately.

What if I’m no longer practicing in a surgical specialty?

Please let us know.

One purpose of the renewal application is to confirm that our records accurately reflect your current practice. If you are no longer practicing within the specialty identified by MIEC, please complete the application and provide updated practice information.

Changes in specialty, procedures performed, or scope of practice are important details that help us maintain accurate coverage records.

Will completing the application affect my premium?

Possibly.

Premium changes are not automatic, but the information provided in your application may result in underwriting review. For example, a change in specialty, scope of practice, or services performed could affect your premium.

Depending on the circumstances, a premium adjustment could result in either an increase or a decrease.

Will I receive these requests every year?

Not likely.

MIEC periodically conducts specialty-focused renewal information campaigns. While these requests have not historically been made on a consistent schedule, members may receive similar requests from time to time (i.e. every two or three years) as we continue improving our renewal and underwriting processes.

Why is MIEC requesting this information?

The information you provide helps us:

  • Maintain accurate records about your current practice.
  • Identify potential coverage gaps or changes that may affect your coverage needs.
  • Ensure your policy reflects your current professional activities.
  • Better understand evolving trends and conditions within your specialty.
  • Continue providing coverage and services that meet the needs of our members.

This process benefits both MIEC and our members by helping ensure coverage remains aligned with actual practice activities.

I still have questions. Who should I contact?
